How do I set up my charge codes to charge a prorated amount, based upon the date an invoice is created?


When new members join your association throughout the year, it is necessary to charge them a prorated amount for dues. Some associations manually calculate the prorated dues fee and alter the charge code amount in the Sales Invoice Form. But the system can easily be set to prorate your dues charge codes automatically based upon the date the invoice is created.

You can set up each individual charge code with a monthly or quarterly proration schedule by following the steps listed below.

Highlight the appropriate charge code and press F5 to zoom, or click the View Detail button, to pull up the Charge Code Information Form.

Click the Prorate Table button to bring up the Charge Code Prorate Form.

In our example, we have prorated the charge code on a quarterly basis. A new member who joins the association on July 10, 2004 would be charged $48.75 for state dues.

Now whenever you use this charge code in the Sales Invoice Form, the system will know the correct amount to charge based on the date of the invoice. No more need to pull out your calculator — Rapattoni’s software will do the proration for you!
